Policies and terms

How we handle your data, the terms for using ScreenZap, how billing and refunds work, and the terms for partners.

Privacy Policy

This policy explains what personal data ScreenZap collects, why, how long we keep it and the rights you have. It is written to meet the Digital Personal Data Protection Act, 2023 and the Information Technology Act, 2000.

1. Who we are

ScreenZap is operated by [ScreenZap legal entity name], [registered address], India ("ScreenZap", "we", "us"). For personal data you give us, we act as the Data Fiduciary.

2. What we collect

We collect only what we need to run the service:

  • Account data: name, email, phone number, business name, city and password (stored hashed).
  • Billing data: billing name, GSTIN, billing address and payment status. Card and UPI details are handled by our payment provider and never stored by us.
  • Content you upload: images, videos, documents and links you add to the platform.
  • Player data: device model, app version, online status, last-seen time and what played and when.
  • Website data: form submissions (demo, partner and interest forms) and, only with your consent, analytics cookies.

3. Why we use it

We use personal data to:

  • Create and secure your account and provide the service you signed up for.
  • Bill you, issue GST invoices and meet tax and accounting obligations.
  • Show screen status, send service notices and provide support.
  • Respond to demo, partner and interest requests you submit.
  • Improve the product using aggregated, non-identifying usage data.

4. Consent and legitimate uses

We process your data on the basis of the consent you give when you sign up or submit a form, and for the legitimate uses the DPDP Act allows, such as meeting legal obligations. You can withdraw consent at any time by writing to us. Withdrawal does not affect processing already carried out, and we may need to close your account if the service cannot run without that data.

5. Who we share it with

We do not sell personal data and do not share it with advertisers. We share it only with service providers who process it on our behalf under contract:

  • Cloud hosting and storage providers.
  • Our payment gateway, for processing payments.
  • Email and messaging providers, for account and service emails.
  • A ScreenZap partner, if you signed up through one, limited to your account name, plan and screen count.
  • Authorities, where the law requires it.

6. Where data is stored

Data is stored with our hosting provider in [data centre region]. If data is transferred outside India, we do so only to countries not restricted by the Government of India under the DPDP Act.

7. How long we keep it

  • Account data: while your account is active, and up to 90 days after you close it.
  • Uploaded content: deleted within 30 days of you deleting it or closing your account.
  • Billing records: 8 years, as required by tax law.
  • Form submissions from the website: up to 24 months, or until you ask us to delete them.

8. Your rights

You can ask us to:

  • Give you a summary of the personal data we hold and how we use it.
  • Correct, complete or update your data.
  • Erase your data, unless we must keep it by law.
  • Nominate another person to exercise your rights in case of death or incapacity.
  • Address a grievance about how we handle your data.

9. Grievance Officer

10. Security

We use encryption in transit, hashed passwords, role-based access for our staff and regular backups. No system is fully secure. If a breach affects your data, we will notify you and the Data Protection Board as the law requires.

11. Children

ScreenZap is a business service and is not meant for anyone under 18. We do not knowingly collect data from children.

12. Changes

We will post changes on this page and update the date at the top. For material changes, we will email account owners at least 15 days before they take effect.

Terms of Service

These terms govern your use of the ScreenZap website, dashboard and player apps. By creating an account you agree to them on behalf of yourself and the business you represent.

1. Your account

You must be at least 18 and authorised to act for your business. Keep your login details safe. You are responsible for everything done under your account, including by users you invite.

2. Plans and billing

The Free plan covers one location and up to three screens with no time limit. Paid plans are billed monthly in Indian rupees, per paired screen, with a GST invoice. Prices are listed on the Pricing page. We will give at least 30 days’ notice of any price increase.

3. Acceptable use

You must not use ScreenZap to display or store content that:

  • Is illegal, defamatory, obscene, hateful or harmful to minors.
  • Infringes copyright, trademarks or other rights you do not hold.
  • Breaks advertising rules, including the ASCI Code, or makes misleading claims.
  • Contains malware, or tries to access other accounts or our systems without permission.

4. Your content

You own the content you upload. You give us a limited licence to store, process and display it on the screens you choose, only to provide the service. You confirm you have the rights to everything you publish.

5. Our service

ScreenZap software, design and brand belong to us. We may improve or change features. We will not remove a core feature from a paid plan during a billing period you have paid for.

6. Availability

We work to keep the service running and players are designed to keep playing cached content if the connection drops. We do not guarantee uninterrupted service. Planned maintenance is announced in advance where possible.

7. Hardware and third parties

You are responsible for your screens, players and internet connection. Hardware supplied or installed by a ScreenZap partner is covered by that partner’s own terms.

8. Suspension and termination

You can close your account at any time from billing settings. We may suspend or close an account that breaks these terms, fails to pay after reminders, or puts other users at risk. Where possible we will warn you first and give you time to export your content.

9. Limitation of liability

To the extent the law allows, we are not liable for indirect or consequential losses, such as lost profits or lost business. Our total liability for any claim is limited to the fees you paid us in the 12 months before the claim.

10. Indemnity

You agree to compensate us for claims made against us because of content you published or your breach of these terms.

11. Governing law

These terms are governed by the laws of India. Courts in [city], India have exclusive jurisdiction.

12. Changes

We may update these terms. Material changes will be emailed to account owners at least 15 days before they apply. Continuing to use ScreenZap after that means you accept them.

Refund and Cancellation Policy

How cancellations, downgrades and refunds work for paid ScreenZap plans.

1. Free plan

The Free plan has no charges, so no refunds apply.

2. Cancelling a paid plan

You can cancel or downgrade to Free at any time from billing settings. The change takes effect at the end of the current billing month. Your screens keep working until then.

3. Removing screens

If you unpair screens during a month, your next invoice reflects the new screen count. We do not issue part-month refunds for screens removed mid-cycle.

4. When we refund

We refund in full when:

  • You were charged twice for the same period.
  • You were charged after cancelling before the renewal date.
  • A billing error on our side charged you the wrong amount.

5. How refunds are paid

Approved refunds go back to the original payment method within 7 working days. Your bank may take a few more days to show it. GST on the refunded amount is reversed with a credit note.

6. Annual and Network plans

Annual and Network plans follow the cancellation terms in your order form or contract.

7. How to request a refund

Email us from your account email with your invoice number. We reply within 2 working days.

Partner Program Terms

These terms apply to businesses accepted into the ScreenZap Partner Program, including agencies, hardware suppliers, installers, integrators and resellers. Your signed partner agreement takes precedence if it differs.

1. Joining

Joining is free and there are no minimum sales targets. You must be a registered business in India. We review every application and may decline without giving a reason.

2. Registering clients

A client counts as yours when they sign up through your partner link or code, or when you register them with us before they sign up. If two partners register the same client, the first valid registration counts.

3. Revenue share and tiers

You earn a percentage of the subscription revenue we collect from your registered clients, excluding GST, for as long as each client stays on a paid plan. The percentage depends on your tier, up to 50%. Tiers are set at onboarding based on paid screens across your clients and the sales and support work you take on, and reviewed every [6 months]. Free-plan screens do not earn a share.

4. Payouts

We pay monthly, by the [15th] of each month, for revenue collected in the previous month, with a statement showing each account. Tax is deducted at source as required by the Income Tax Act. If you are GST-registered, send us a GST invoice for your share before payment.

5. Your own services

You may charge clients for hardware, installation, content creation and management. You set those prices and keep that revenue. You must not change ScreenZap’s subscription prices or bill clients for the ScreenZap subscription yourself unless agreed in writing.

6. Support

You handle the client relationship and first-line questions. We provide product and technical support to you and your clients, and partner training and sales material.

7. Brand use

You may use the ScreenZap name and logo to promote the service, following our brand guidelines. You must not imply you are ScreenZap or make claims about the product we have not confirmed.

8. Client data

You see your clients’ account name, plan and screen count. You do not get access to their content or dashboards unless the client invites you as a user. You must handle any client data you receive in line with the DPDP Act.

9. Ending the partnership

Either side can end the partnership with 30 days’ written notice. We pay the share earned up to the end date. We may end it immediately for fraud, misrepresentation or a serious breach, and withhold unpaid share related to that breach.

10. Governing law

These terms are governed by the laws of India. Courts in [city], India have exclusive jurisdiction.

Cookie Policy

This policy explains the cookies and similar storage the ScreenZap website and dashboard use.

1. Essential

Needed to sign you in, keep your session secure and remember your settings. These cannot be turned off.

2. Preferences

Remember choices such as collapsed menus and table views in the dashboard.

3. Analytics

Help us understand which pages are used, using aggregated data. We set these only after you agree, and you can withdraw consent at any time.

4. What we don’t use

We do not use advertising or cross-site tracking cookies.

5. Managing cookies

You can clear or block cookies in your browser settings. Blocking essential cookies will stop you from signing in.
